Importing Contacts into REALToDo

If you're transferring data from another CRM or you regularly purchase leads in bulk, you probably want to import contacts into REALToDo instead of adding them one-by-one.

You can import your contacts into REALToDo from an Excel spreadsheet or CSV file. We also accept most other spreadsheet formats. Follow the formatting guidelines below to import your contacts.

Spreadsheet layout

Throughout this import guide, we'll be using a sample spreadsheet for demonstration purposes. You can see the full spreadsheet below:

Importing Contacts into REALToDo Sample Spreadsheet

Spreadsheets must have headers, which are located in row 1 of your spreadsheet. You will put your import data below these headers. For example, first names will be placed in the firstName column and primary phone numbers will be placed in the phoneNumber_1 column. Your spreadsheet can contain the following information:

  1. Contact's first name
  2. Contact's last name
  3. Contact's primary phone number
  4. Contact's secondary phone number
  5. Contact's primary email
  6. Contact's secondary email
  7. Contact's current address
  8. Additional comments

If you're transferring data from another system, we suggest that you put extra details in the comments column.

Valid spreadsheet headers

Spreadsheets may have the following headers. Please copy these headers exactly as they are shown below:

  1. firstName
  2. lastName
  3. phoneNumber_1
  4. phoneNumber_2
  5. email_1
  6. email_2
  7. currentAddress
  8. comments

All headers are case sensitive. Although you can use any of these headers, the only required headers are firstName and lastName. Headers should be placed in row 1 of your spreadsheet.

Required information

As shown above, you must include information in the firstName and lastName columns of your spreadsheet. If you do not know the firstName and/or lastName of your contact, we suggest putting Unknown within that field. Aside from firstName and lastName, all other fields may be left blank.

Current address formatting

If you have addresses for your contacts, they must be formatted like so:

  • 1600 Pennsylvania Avenue NW, Washington, DC 20500
  • 30 Newbury Street STE 3, Boston, MA 02116

Note that street address may not contain commas. For example, "30 Newbury Street STE 3" is accepted for importing, but "30 Newbury Street, STE 3" is not.

Uploading your spreadsheet data

Once you've added your contacts into a properly formatted spreadsheet, you can upload them to REALToDo by following these steps:

  1. Go to app.realtodo.com and login using your REALToDo username and password. Use the same username and password that you would use in your mobile app.
  2. Click on the "Contacts" link at the top of the REALToDo web app.
  3. Click on the "Import Contacts" button in the sidebar of your Contacts module.
  4. Follow the instructions given in the import popup.
